The Smart Energy Showcase pavilion at EXPO XXI
The Warsaw EXPO XXI centre is one of those venues we visit regularly. This time we supported the Smart Energy Showcase pavilion, dedicated to modern energy technologies. We assigned one hostess to the project, working as a guide to the exhibition, a Tour Guide and Pavilion Host in one.
Guiding groups from a prepared script
The task was more demanding than standard stand support. Our hostess led groups of visitors between the stands and presented individual exhibitors based on a script prepared in advance. She had to master the material, keep the tour moving and deliver the same story every time as if it were the first. For trade fair and conference work of this kind we choose people who are comfortable in front of a group and can handle questions that go beyond the script.
Supporting communication and Happy Hour sessions
The second part of the job was acting as a link between visitors and exhibitors. Our hostess helped start conversations, directed guests to the right stands and gave organisational support during the Happy Hour networking sessions. That is the moment when real business contacts are made at a trade fair, so it is worth making sure nobody is left standing on the sidelines.
Summary
The Smart Energy Showcase proved that one well-prepared person can run an entire pavilion. The role of a guide takes more than a friendly welcome: it requires knowledge of the subject, confidence and a feel for the group.
